Responsibilities
This position involves office and facility activities in coordination with our headquarter in Göppingen, Germany. The area of responsibility will focus on our Porto office but will not exclude global activities as well.
Office Management – Be the good soul of the Porto office and provide a hands-on service mentality to local staff
Organize office operations and procedures
Point person for maintenance, mailing, shipping, supplies and equipment
Maintain and develop our supplier-management processes
Plan in-house activities, launchings, parties, celebrations, and conferences
Manage relationships with vendors, service providers and landlord, ensuring that all items are invoiced and paid on time
Work on continuously improving service parameters, costs, quality and delivery in working closely with our internal requestors as well as suppliers
Maintain a safe and secure working environment
Oversee adherence to office policies and procedures
Collaborate with internal stakeholders to understand their procurement needs and develop solutions that meet their requirements
Requirements
3+ years of working experience in the field of administration in Portugal
Must have exceptional attention to detail, high levels of organizational effectiveness & communication
Proactive, resourceful, and able to work independently in a fast-paced environment
People-first approach, service-oriented, practical, problem solver with sound judgment
Gained practical experience with an ERP system, ideally MS Dynamics D365
Excellent written and verbal communication in English and Portuguese, further languages are a plus
Data-driven mindset and experience with Procurement KPI’s
This position requires a strong on-site presence in the Porto office
